Our client has been in business for over 30 years and is an electrical contractor.


As Administrative Assistant, you will sit at the front desk, answer incoming calls, and greet all walk-in traffic.

  • Ensure the front office always looks presentable for staff and customers
  • Manage office supplies
  • Schedule and organize staff and management meetings
  • Enter vendor invoices and manage vendor payables
  • Execute invoices and work with accounts receivable
  • Will be the point of contact for vendor questions
  • Prepare cost reports for projects completed
  • Manage employee hours for each completed projects
  • Calculate unbilled hours and cost
  • Handle W-9 requests from contractors
  • Update pricing
  • Execute warranty letters for customers
  • Complete schedules for customers as needed
  • Complete requests for certificate of insurance for projects by contractors
  • Audit time sheets
  • Post open positions and perform telephone and in-person interviews
  • Work directly with management to prepare and execute employee evaluations
  • Manage health insurance coverage for employees as well as handle annual open enrollment
  • Administer proof of employment requests
  • Assist with contracts, sub contracts and change orders as needed
  • Assist with scheduling service calls as needed
  • Assist the President, Vice President and Project Manager with various tasks as needed


  • 2+ years of administrative experience
  • Office management experience is ideal
  • Must have some accounting knowledge
  • Experience working for a smaller company or business is preferred
  • Associates degree in business or related field is a plus
  • Basic knowledge of MSWD and intermediate knowledge of Excel
  • Tech savvy with the ability to learn the company software
  • Must have knowledge of Quickbooks or a similar accounting software
  • Outgoing and personable with a very welcoming demeanor
  • Ability to be flexible, multi-task and be self-motivated
  • Ability to work in a very fast paced environment

Hours: 40 hours per week, 7:00am – 4:00pm Monday – Thursday, 7:00am – 12:00pm Friday

Length: Temporary to Hire, possibly Direct Hire
