This position will start out as an Assistant Service Coordinator for 3+ months and then will transition into a Service Coordinator role.

Assistant Service Coordinator

• Phone coverage and gather information
• Review and update call numbers and resolutions
• Compile and send out weekly reports to 75 technicians
• Monitor dispatch inbox and assist with requests
• Update call status’s and service dates weekly
• Assist with data entry of man powers for southern offices
• Update contacts/customer notes
• Assist with belts/filter orders
• Review technician resolutions and update complete/not complete
• Spot check calls and update equipment fields

Service Coordinator

• Schedule the service technicians in accordance with contractual agreements based on planning and scheduling
• Understand the components of the standard agreements including services provided and terms and conditions
• Determine the customer urgency in service call using standard customer service trouble protocol
• Provide support to service technicians on ordering parts, filters and obtaining technical information
• Communicate the scheduled work to be completed to supervisor, service technicians and project sales
• Keep supervisor informed of work progress, customer relations, field personnel relations, scheduled/unscheduled time off and other matters affecting service operations
• Respond internal and external customers, vendors and co-workers
• Promote the service department and provide support to sales and special projects
• Any other additional projects as needed


  • Must have 2+ years experience doing administrative office support type work and experience answering phones
  • 2 + years of dispatch, strong phone customer service or scheduling experience for groups of people within an office setting is ideal
  • Would consider someone who has strong phone customer service skills preferably from a call center environment
  • Must have experience working with people internally and externally
  • Experience working in the HVAC industry or similar type trade industry is highly preferred
  • Administrative/clerical experience and/or working in a role within a process-driven environment is ideal
  • Computer savvy or must have a technical background to learn new programs quickly
  • Intermediate skillset in Excel, basic in MSWD and Outlook
  • Strong and accurate typing skills

Hours: Full-time hours between 7:00am – 5:00pm
