Our client was been in business for nearly 20 years and creates and supplies chemicals and fuels.

WHAT YOU WILL BE DOING:

As an Administrative Assistant, you will greet visitors, and you will answer, screen and direct incoming calls as appropriate.

  • Issue badges and maintain security protocol for front office
  • Monitor general email inbox and respond to external inquiries as required
  • Plan and organize large meetings and events, including coordinating the agenda, planning logistics and equipment needs for committees, partnerships and other external visitors
  • Keep general office spaces operationally ready and general areas stocked, including lunch room, kitchen and copy areas
  • Deliver and prepare outgoing mail, and receive and deliver incoming mail
  • Maintain office records, filing systems and record retention for HR, legal, etc.
  • Perform three-way match of invoices, purchase orders and receiving documents and follow-up with discrepancies as needed
  • Perform check runs weekly, review monthly supplier statements, provide assistance as necessary in the development of budgets, process year-end supplier tax form 1099s and weekly bank reconciliations
  • Assist in setting new suppliers by obtaining W9s and competing credit applications
  • Work with external vendors and suppliers
  • Assist the office with copying, calendaring, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed
  • Place priority on organizational compliance with all legal, finance and human resource policies and procedures
  • Anticipate obstacles and be prepared with contingency plans to ensure smooth operations for the front office
  • Assist with any other duties as assigned

WHAT YOU NEED:

  • 3 years of administrative experience
  • Some accounting knowledge and experience
  • Must be comfortable working with numbers
  • Knowledge of GAAP accounting principles is preferred
  • Associates degree is preferred
  • Basic MSWD and Excel skills
  • SAP experience is preferred
  • Ability to jump in and hit the ground running
  • Must be able to handle interruptions throughout the day and multitask in a fast paced work environment
  • Ability to problem solve
  • Ability to think and act ahead of time to work out an issue
  • Adapt and accept change while managing priorities
  • Maintain confidential information
  • Ability to work well with minimal supervisor and work in a team setting
  • Must have a positive attitude and have the ability to work with others in a professional manner even in difficult situations
  • Ability to recognize areas for improvement, efficiency or enhancement and provide feedback to management with suggestions for resolution
  • Excellent interpersonal skills and written and verbal communication
