WHAT YOU WILL BE DOING:

As an Office Assistant, you will enter orders and send member confirmations.

  • Submit sample requests to suppliers, notify members of arrival, and obtain feedback for supplier
  • Submit authorized bill backs & quality claims on behalf of members using the portal
  • Complete unauthorized bill backs seeking approval from suppliers and filing on the portal
  • Notify buying groups of authorized deleted orders
  • Inform Member Specialists of supplier order exceptions
  • Maintain event calendar and SharePoint folders
  • Enter nutritional, certifications & specification sheets into item repository
  • Update error subject lines in inbox
  • Prepare exception emails based on changes provided from procurement
  • Revise subject lines on supplier bill of lading emails
  • Update subject lines on dairy direct supplier confirmations
  • Generate reports for member development review

WHAT YOU NEED:

  • Administrative, office, data entry experience
  • Food service industry experience is highly preferred
  • Tech savvy and comfortable with new technology and systems
  • Bachelor’s or Associate degree is preferred
  • MSWD and Excel skills
  • Strong and extremely accurate data entry skills
  • Team oriented, outgoing and friendly
  • Detailed and organized
  • Highly team oriented position
  • Open to change and not be afraid to ask questions
  • Ability to move quickly and handle multiple tasks

GENERAL INFORMATION:

Hours: 20 – 30 hours per week between 7:30am – 5:30pm

Length: Temporary to Hire or Direct Hire

Pay for the Office Assistant position: $18.00 – $20.00 / hr. – based on experience

Location: Appleton, WI – remote or hybrid option available after training is complete – must live within driving distance of Appleton, WI
